What we typically build
A ballroom general session usually means a wide stage, an LED wall or blended projection, IMAG so the back of the room can see a face, stage lighting warm enough for cameras, and a run of show that keeps the day on time.
Gala programs in the same rooms need a different look — uplighting, table wash, entertainment audio and a show caller who can hold the timing through an awards block.

Hotel logistics
Hotel ballrooms have their own dock scheduling, in-house AV arrangements, rigging approvals and union or labor requirements. We coordinate with the hotel directly and build the load-in schedule around what the building actually allows.
Because our warehouse is a short run away in Laurel, Maryland, an added screen or a changed room plan late in the week is a truck run, not a rental scramble.
Common questions
- Can we bring in an outside AV company at a hotel?
- In most cases yes, subject to the hotel's rules on rigging, power and labor. We confirm those requirements with the venue during planning and handle the coordination and paperwork.
- Do you rehearse presenters before the general session?
- Yes. Rehearsal is part of the build. We run slides, video playback, transitions and remote speakers ahead of doors so show day is execution rather than discovery.
- Can you record the sessions for on-demand use?
- Yes. We can record isolated camera feeds and program output, and deliver edited session files afterward for on-demand libraries. Send us the venue, the dates and a rough headcount and we will price the actual build rather than a range.
