Event Production & AV at the Ronald Reagan Building

The Ronald Reagan Building and International Trade Center is a common home for federal-adjacent summits, association meetings and awards programs. Its rooms range from an amphitheater to a soaring atrium, and each one wants a different production approach.

Room by room

The amphitheater behaves like a theater: fixed sightlines, tight sound control and a stage picture that reads immediately on camera. The atrium behaves like the opposite — a large, reflective, glass-heavy space where audio intelligibility and lighting contrast take real design work.

We plan the two differently. A summit in the amphitheater is about clean IMAG and speaker support; a reception in the atrium is about coverage, uplighting and controlling reflection.

Security, credentialing and downtown logistics

Programs in the building often carry additional security screening, credentialing and vendor documentation. We plan crew arrival and equipment screening into the schedule instead of discovering it on the morning of the show.

Downtown load-ins are timing-sensitive. We build the truck and cart plan around the dock window and Pennsylvania Avenue traffic restrictions rather than assuming open street access.

Common questions

Do you handle the vendor paperwork the building requires?
Yes. Certificates of insurance, vendor registration, crew lists for security screening and any rigging or power documentation are handled by us as part of the production.
Can you produce a hybrid summit here with remote panelists?
Yes. Remote presenters appear on the main screens with intelligible two-way audio, and the in-room program feeds the stream cleanly. We rehearse remote speakers before show day rather than testing them live.
Do you provide staging and lighting for atrium receptions?
Yes — staging, uplighting, wireless audio coverage and entertainment support. The atrium is a hard acoustic space, so the audio design matters more than the box count. Send us the venue, the dates and a rough headcount and we will price the actual build rather than a range.
