D.C. venue guide
Event Production & AV at the Washington Hilton
The Washington Hilton's International Ballroom is one of the largest hotel ballrooms in the city and hosts high-visibility galas, dinners and association general sessions. Rooms at that scale need a production designed for the back row, not the front table.
Designing for a very large ballroom
In a room that size, the two things guests judge instantly are whether they can hear the speaker and whether they can see a face. That means a properly designed audio system with delay coverage, and IMAG large and bright enough to read from the far tables.
Lighting has to serve both the room and the cameras. Warm table wash and uplighting set the mood; stage lighting has to hold color temperature so the video does not look flat or green.
- Distributed audio with delay coverage for deep rooms
- Large-format LED or blended projection with IMAG
- Stage, scenic and uplighting design
- Multi-camera video with a live-switched program feed
- Live streaming and recording for remote audiences
Show flow and timing
Galas and awards nights move fast and rarely go exactly to script. We provide show calling, cue-to-cue rehearsals and a stage manager so the program keeps its timing when a speaker runs long or an award order changes.
Common questions
- Can you handle a gala with an awards block and live entertainment?
- Yes. That combination is routine for us: presentation playback, walk-on music, entertainment audio, lighting looks per segment and a show caller running the cues.
- Is IMAG necessary in a ballroom?
- In a room this size, yes. Without IMAG most of the audience is watching a distant silhouette, and engagement drops quickly. It also gives you clean footage afterward.
- Can you stream a gala to remote guests or donors?
- Yes. We produce the stream as its own program — switched cameras, console audio, lower thirds and redundant delivery — rather than pointing one camera at the stage. Send us the venue, the dates and a rough headcount and we will price the actual build rather than a range.
